A call sheet is the single-page document sent before a shoot day telling everyone involved where to be, when to be there, what is being shot, and what to expect.
Its purpose is to make the day answerable without anyone having to ask. On a professional set that is a logistical necessity; on a two-person content shoot it is still worth ten minutes, because the questions it prevents are the ones that cost the first hour.
What must be on one
Date, location, and call time. Address that works in a map app, not a venue name.
Individual call times. Not everyone arrives together. Talent called for the same time as crew waits two hours in a corridor.
Schedule blocks. What is being shot when, in order, with rough durations.
Contacts. Names, roles, phone numbers for the two or three people who solve problems.
Wardrobe and props. Who brings what. This line prevents the most common shoot-day failure.
Weather and daylight, for anything outdoors, including when the light actually goes.
Parking, access, and where the bathroom is. Unglamorous and the most-read section of any call sheet.
Who sends it and when
A producer or whoever is running the day, the night before, to everyone, as a single file rather than a thread of messages. Sending it in the morning defeats the purpose, because the point is that people can plan around it.
The small-shoot version
For a two or three person content day, the call sheet is six lines: address, call time, the three blocks of the day, what to bring, and one phone number. Skipping it entirely is what turns a planned shoot day into a day of improvisation.
Examples
A one-day product shoot. Call 8:30 for crew, 9:30 for stylist, 10:00 for talent. Three blocks by look. Wardrobe list by block. One producer number. Weather line because two setups are on a rooftop.
A UGC creator day. Address, 10:00 call, five pieces to shoot, wardrobe changes noted, the products arriving by courier and who is signing for them.
